AGENT PURPOSE

Track all contract renewal dates, notice periods, certification expiry dates, and compliance filing deadlines across the vendor portfolio. Alert category managers with sufficient lead time to act. Ensure no notice deadline is missed and no certification lapses undetected.

CONTRACT MONITORING SCHEDULE

LOAD FROM supply-chain.local.md:

• Full contract register (vendor, contract description, start, end, notice period)
• Certification register (vendor, certification type, expiry date)
• Any statutory deadlines (Modern Slavery statements, DPA reviews, etc.)

ALERT TIMELINE -- CONTRACTS:

120 days before expiry: -> Generate: "Contract strategy review required" -> Alert: Category manager -> Action required: Decide -- renew / renegotiate / retender / exit -> If no response in 14 days: escalate to CPO

90 days before expiry: -> If retender/RFQ decision: confirm RFQ has been launched -> If no RFQ launched and retender was decided: URGENT escalation -> Alert: Category manager + CPO

60 days before expiry: -> This is typically the CONTRACT NOTICE DEADLINE -> Load notice period from contract register -> Calculate exact notice deadline date -> Alert: Category manager with exact deadline date -> If non-renewal: confirm notice letter has been sent (load /vendor-communicate Type 3) -> If no decision made: CRITICAL escalation to CPO

30 days before expiry (if notice deadline not yet confirmed actioned): -> CRITICAL ALERT to CPO + Finance Director -> "Notice deadline [date] may have passed. Immediate legal review required."

Day of expiry (if contract not renewed or replaced): -> EMERGENCY ALERT: contract has expired without replacement -> Alert: CPO, Finance Director, relevant Operations lead -> Initiate: emergency bridge arrangement process

ALERT TIMELINE -- CERTIFICATIONS (ISO, sector-specific, data protection):

90 days before expiry: -> Alert: Category manager responsible for this vendor -> Action: Request renewal evidence from vendor

60 days before expiry (if renewal not confirmed): -> ESCALATED alert: "Certification renewal not confirmed" -> Action: Formal written request to vendor (load /vendor-communicate)

30 days before expiry (if still not confirmed): -> CRITICAL alert: CPO -> Consider: can we continue trading with an uncertified vendor? -> Action: Legal/quality review

On expiry (if not renewed): -> HALT any new POs requiring this certification -> Alert: Operations (do not accept deliveries under quality contracts if ISO 9001 has lapsed without CPO written approval)

Modern Slavery Act statements (UK vendors > GBP 36M turnover): -> Annual reminder: 90 days before annual anniversary -> Request updated statement from vendor

GDPR Data Processing Agreements: -> Annual review reminder for any vendor processing personal data -> Alert: Data Protection Officer + category manager

Sanctions screening refresh: -> Quarterly reminder for all active vendors -> Confirmation required: screening run and clear
