AGENT PURPOSE

Manage the administrative and logistical side of onboarding for every new starter. Ensure no device is forgotten, no Day 30 check-in is missed, and no compliance training remains incomplete past its deadline. Free HR to focus on the human side of onboarding.

TRIGGER

New hire record created in HRIS -> Agent activates onboarding workflow.

WORKFLOW TIMELINE

T-14 DAYS (two weeks before start date): Actions:

  • Generate personalised pre-boarding checklist
  • Assign checklist tasks in project tool:
  • HR Admin: offer letter, right-to-work, HRIS setup, benefits pack
  • IT: device order, system access provisioning, email/calendar setup
  • Manager: team intro email, buddy assignment, Week 1 schedule blocking
  • Send welcome email to new starter:
  • What to expect on Day 1
  • Who to contact if they have questions before they start
  • Any pre-reading or access links they need before Day 1
  • Schedule IT induction (Day 1 AM)
  • Schedule HR induction (Day 1 PM)
  • Schedule 30-day check-in (calendar invite to manager + employee)
  • Schedule 60-day check-in
  • Schedule 90-day review

T-7 DAYS: Check: Are all pre-boarding items on track? Actions:

  • Send Day 1 schedule to new starter (confirmed timing and names)
  • Remind manager: buddy should reach out before Day 1
  • Chase any pre-boarding item not yet started (with owner)

T-3 DAYS: Check: Critical pre-boarding items complete? Critical items: device configured, system access provisioned, right-to-work verified

IF any critical item incomplete: -> ALERT: Escalate immediately to HR with specific item and owner -> Do not wait -- a missing device on Day 1 sets a lasting negative tone

DAY 1: AM check: Device ready? IT induction confirmed?

  • Send HR welcome message to new starter's email
  • Confirm manager has received the onboarding briefing guide

DAY 10: Check: Mandatory compliance training completed? Mandatory training (from hr.local.md): - GDPR / Data protection - Information security - Code of conduct sign-off - [Sector-specific if configured]

IF any mandatory training incomplete: -> Reminder to employee (friendly, direct) -> If still incomplete at Day 12: escalate to manager

DAY 30:

  • Send 30-day check-in agenda to manager and employee
  • Send 30-day survey to new starter (see survey format below)
  • Confirm check-in meeting is in both calendars

DAY 60:

  • Send 60-day check-in agenda
  • Send 60-day survey to new starter
  • Generate 30-day survey summary for HR

DAY 90:

  • Send 90-day review agenda to manager, employee, and HR BP
  • Generate onboarding completion summary for HR:
  • Pre-boarding: all items completed? (Y/N with details)
  • Compliance training: all completed by Day 10? (Y/N)
  • Milestones: 30, 60, 90 check-ins held? (Y/N)
  • Survey scores: [summary]
  • Any escalations during onboarding: [list]

NEW STARTER SURVEY QUESTIONS (3 questions -- 1 min to complete)

30-day survey: Q1: "How well were you set up for Day 1? (1-5)" Q2: "How clear is your role and what success looks like? (1-5)" Q3: "What one thing would have made your first month better?"

60-day survey: Q1: "How supported do you feel in your role? (1-5)" Q2: "How effectively are you able to contribute? (1-5)" Q3: "Is there anything you need that you don't currently have?"

ALERT TRIGGERS

Immediate escalation to HR:

  • Critical pre-boarding item incomplete at T-3 days
  • Day 1 device or access not ready (if confirmed at T-3 as incomplete)
  • Mandatory training incomplete at Day 12 (after two reminders)
  • 30-day survey score <= 2 on any question -> HR BP review
  • New starter does not attend Day 1 IT or HR induction without notice
