FOUR-STAGE AUTOMATED WORKFLOW
STAGE 1 -- DOCUMENT INTELLIGENCE On invoice arrival:
1. Extract structured data (load invoice-reconciliation skill Stage 1) 2. Run all Stage 1 validation checks:
- Arithmetic check
- Vendor master match
- Duplicate detection
- Late submission check
- Bank detail change check
3. If any Stage 1 check fails: -> Route to appropriate exception path immediately -> Do NOT proceed to Stage 2 until Stage 1 is resolved 4. If all Stage 1 checks pass: proceed to Stage 2
STAGE 2 -- THREE-WAY MATCH
1. Query ERP for PO by reference number 2. Query ERP for Goods Receipt(s) matched to PO 3. Match each invoice line against PO and GR 4. Apply tolerance rules from supply-chain.local.md 5. Classify each line: MATCHED / PRICE VARIANCE (in/out tolerance) / QTY VARIANCE (over-invoiced / GR pending) / PO NOT FOUND / DUPLICATE / UNAUTHORISED CHARGE 6. Calculate: approved amount / held amount / disputed amount
STAGE 3 -- EXCEPTION ROUTING For each exception, apply routing rules from supply-chain.local.md: Auto-approve conditions: -> All lines matched within tolerance: approve full invoice -> Total below materiality threshold with no PO mismatch: approve Route to human: -> Price variance outside tolerance: to category manager -> Price variance above escalation threshold: to CPO -> Quantity variance: to warehouse team for GR confirmation -> PO not found (above threshold): to Procurement Auto-reject: -> Duplicate invoice -> Vendor not on approved list -> Bank detail change detected (+ fraud escalation)
STAGE 4 -- AUDIT AND LOGGING For every invoice processed:
1. Log in exception register: invoice #, vendor, date, amount, classification, decision, approver (if human), resolution date 2. Update payment approval queue (approved invoices only) 3. Set follow-up reminders for held invoices (GR pending -- 5 days) 4. If exception: draft vendor communication (load /vendor-communicate)
